How Reed in Partnership used Notes to reduce admin by 64% and give career advisors more time to help job seekers move into employment.

Career advisors are motivated by helping people overcome barriers and find employment. But delivering that support also requires detailed documentation.
Every appointment needs case notes, systems must be updated, and actions must be recorded to meet program and compliance requirements.
For many advisors, these administrative tasks can take up to half of the working day.
Reed in Partnership, one of the UK’s largest employment services providers, wanted to reduce this administrative burden and give their career advisors more time to focus on supporting job seekers. To explore how technology could help, they piloted Notes.
The challenge
Balancing job seeker support with documentation
During appointments, advisors needed to capture detailed notes while also listening to job seekers and guiding the conversation.
After each meeting, those notes had to be reviewed, structured, and entered into program systems to meet compliance standards. This meant advisors were spending significant time both during and after appointments on documentation.
As a result, less time was available for the hands-on support that helps job seekers move closer to employment, such as refining resumes, practicing interview techniques, or working through individual barriers to work.
The approach
In September 2024, Reed in Partnership began piloting Notes within the delivery of a government-funded employment program supporting people with health conditions and disabilities into work.
Over a two-month pilot, a group of career advisors used Notes to record client appointments, generate structured summaries, and complete case records.
The impact
Time savings
Advisors reduced the time spent writing notes after appointments by 64%.
Instead of manually writing up conversations from memory, advisors had a structured summary ready immediately after each session, allowing notes to be reviewed and finalized quickly.
As one team member shared:
“It saved me a lot of time and helped me write detailed notes for appointments. It was great for setting actions for job seekers and advisors alike.”
80% also said Notes saved time on other administrative tasks, including resumes, cover letters, and success stories. This meant advisors had more time to focus on supporting job seekers with practical next steps.
“I have been able to focus more on completing resumes and working on things with job seekers. As I took less time for admin, I could spend it on other work I had.”
More focused conversations
With less pressure to document conversations in real time, career advisors were able to focus more fully on their interactions with job seekers.
80% reported being able to concentrate more on the conversation itself, helping them better understand job seekers’ barriers and support needs.
